How Much Does Mobile Bar Hire Cost in Latvia?

Mobile bar hire in Riga and across Latvia usually costs €29–50 per guest excluding VAT on an all-inclusive basis, and the per-guest price drops in 2–3 steps as the guest count grows. Below are typical market prices, common extras, minimum orders and a step-by-step calculation for an 80-guest wedding, so you can benchmark your own pricing or understand what a client is paying for. The logic applies to any market; only the numbers are local.

What are typical mobile bar prices in Latvia?

Most bar caterers in Latvia sell an all-inclusive package priced per guest, excluding VAT (PVN, 21%), with 2–3 tiers by guest count. The bottom of the market is about €29 per guest; premium cocktail programmes reach around €50.

A free tasting before a wedding is common, and clients have come to expect it.

What goes into the per-guest price?

The per-guest price is built from five cost blocks (drinks, staff, equipment, consumables and logistics) plus your margin. If you run a bar, keep this breakdown visible for every package, otherwise a "from 50 guests" discount can quietly wipe out your profit.

  1. Drinks. Spirits, wine, sparkling, syrups, juices, tonic. This is the biggest line, usually 30–40% of the client price. How much to allow per guest depends on duration and format.
  2. Staff. Bartenders and a barback. Rule of thumb: one bartender per 40–50 guests on a cocktail menu, plus a barback from 70–80 guests. Count hours including set-up and breakdown, usually 1.5–2 hours on top of service time.
  3. Equipment and glassware. Counter, fridges, shakers, glasses, plus breakage and washing.
  4. Consumables. Ice (allow around 1 kg per guest for a cocktail bar), fruit and garnish, straws, napkins.
  5. Logistics. Van, parking, the drive out to a country manor.

Why does the price per guest go down with more guests?

The price drops because fixed costs are spread over more people. The counter, delivery, set-up and a minimum bartender shift cost the same for 25 guests as for 60, while drinks scale in proportion.

That is why almost every bar uses tiers: for example €36 per guest up to 29, €33 from 30 and €30 from 50. The step between tiers is usually 8–12%. Do not go beyond three tiers; clients find it harder to compare and you find it harder to explain. How to build the packages themselves is covered in Bar catering packages.

What is usually not included in "all inclusive"?

Show items and décor hire are usually not part of an all-inclusive package. That is fine, as long as the quote says so plainly, otherwise the client discovers the surcharge at the last minute.

Commonly charged separately:

  • champagne or cocktail tower (around €5 per guest);
  • coffee station (+€50);
  • photo or welcome wall (€60–140 per day);
  • jelly shots in sets of 50;
  • extra hours beyond the agreed service time;
  • delivery beyond roughly 70 km from Riga;
  • premium brands instead of house spirits.

Worked example: wedding, 80 guests, 5 hours

Take a cocktail bar for 80 guests, five hours of service, at a country venue 50 km from Riga. The client price on the "from 50 guests" tier is €33 per guest.

Client price: 80 × €33 = €2,640 excl. VAT. With 21% VAT: €3,194.40.

Costs (rule-of-thumb figures):

ItemCalculationAmount
Drinksabout €11 per guest × 80€880
Ice, garnish, consumablesabout €2 per guest × 80€160
Staff2 bartenders + 1 barback × 7 h × €20€420
Transport100 km round trip, van€60
Breakage and glass washing€80
Total€1,600

That leaves about €1,040, roughly 39% of the price excluding VAT. This has to cover storage rent, marketing, equipment wear, and the time spent on emails and tastings. If the client adds a champagne tower (80 × €5 = €400), nearly all of it is extra, because staff and logistics are already paid for.

How do you know your price is too low?

Your price is too low if less than 30% of the ex-VAT price is left after drinks, staff and logistics. At that level any surprise (an extra hour, broken glass, traffic) eats the whole result.

Signs it is time to raise prices:

  • you win almost every enquiry from the first email;
  • you charge the same per guest for 15 guests as for 100;
  • you cannot say within a minute what one guest costs you in each package;
  • you give away extra hours for free.

How should you present the price to the client?

Lead with the per-guest price and the total for the relevant tier, then list everything else as clear options. Clients compare bars by price per guest, so put it first and the package contents right below.

Reply quickly. In Latvia the usual response time is "within a few hours" or 1–2 working days, and almost no one offers an online price calculator. A clear quote sent the same day often wins the booking before others reply. See How to write a catering quote for the structure, and Bar payment models for all-inclusive versus pay-per-consumption.

How this works in Garnify

In Garnify a package is stored with a per-guest price and tiers by guest count, and extras are added as separate lines. The client price is the main figure; costs are optional. The client gets a branded link to the quote and approves it in one click, and the whole team sees the same event with the same details.

Questions and answers

How much does a mobile bar cost for a wedding of 80 guests?

At a typical €30–36 per guest, a five-hour bar for 80 guests costs roughly €2,400–2,900 excluding VAT, or about €2,900–3,500 with 21% VAT. Extras like a champagne tower or photo wall add another €200–600.

Is there a minimum order for a mobile bar?

Usually yes, most often 20 guests. For small events many bars offer a flat fee instead, for example around €1,200 for up to 29 guests, because bartenders, the counter and delivery cost the same for 15 guests as for 30.

Can I hire just a bartender without drinks?

Yes. A freelance bartender in Latvia costs roughly €15–55 per hour, and a bartender from a bar company around €50 per hour. In that case the client supplies drinks, ice and glassware, which should be spelled out in the quote.
